Under the direct supervision of the Operations Officer, the Administrative and Finance Assistant performs the following duties:
Key Result Area One: Accounting and Finance:
• Preparing financial entries and making scheduled financial payments including through the DPO online payment system (Country Representatives, Sales Agents, Consultants, Laundromats, Vendors, etc.)
• Serve as financial focal point for Country Representatives and Laundromats as vendors
• Managing assigned role and profile on the DPO online payment platform as directed
• Reconciling the company's bank statements and bookkeeping ledgers
• Completing analysis of the employee expenditures
• Managing income and expenditure accounts
• Gathering and monitoring financial data (e.g. sales revenues and liabilities)
• Preparing monthly, quarterly and annual statements (balance sheets, income statements, cashflow statement, statement of owner’s equity) including ratio analysis
• Forecasting costs and revenues
• Managing tax payments
• Organizing internal audits
• Preparing budgets (for the entire company and by department)
• Monitoring and reporting on accounting discrepancies and inconsistencies
• Conducting detailed financial risk analyses to assess potential investments
• Analyzing financial trends and analytics
• Keeping up-to-date with financial policies, practices, and regulations
• Perform month-end and year-end closure and filing processes
Key Result Area Two: Taxation
• Track, File and prepare tax returns on a timely and advanced basis in all company’s jurisdictions in partnership with the Country Representatives; ensure timely payments, necessary paperwork, and reports.
• Assess and research required tax issues in partnership with Country Representatives to identify solutions
• Manage and maintain the company’s tax database
• Determine tax savings and recommend strategies to improve profits
• Maintain contact detail and professional relationship with tax authorities in all company’s jurisdictions and ensure the company complies with regulations by forwarding required information to respective authorities in all company’s jurisdictions including national, federal, state, and local authorities.
• Offer support and guidance during company’s audits
• Regularly track and evaluate tax regulations in all company’s jurisdiction and suggest policies that diminish tax burden
• Keep track of industry trends and changes related to taxes
• Prepare accurate quarterly and annual tax reports
Key Result Area Three: Administration
• Provide administrative services to the company and serve as special assistant to the Company Secretary and Brand CEO
• Schedule appointments and maintain calendars
• Schedule and coordinate staff and other meetings
• Collate and distribute mails
• File administrative procedures with government and other authorities on behalf of the company
• Prepare communications such as letters, memos, emails, invoices, reports and other correspondence
• Write and edit documents from letters to reports and instructional documents
• Create and maintain filing systems, both electronic and physical
